JOB SPECIFICATION

This Job Description may be adjusted by the Headteacher according to the changing needs of the school. This post is subject to the conditions of employment contained in the Jebel Ali School contract and to work in line with new COVID guidelines in supporting students and staff.

 

Role Summary:

  • Present a professional impression to parents, guests and customers

  • Being the first point of contact within the school as required.

  • Assist with all queries knowledgeably, efficiently and courteously and support the Principal from an administrative perspective the smooth running of the school. 

 

Role Responsibilities:

  • To act as personal assistant to the Secondary Headteacher, including dealing with highly confidential and sensitive issues.

  • To be responsible for Secondary Headteacher’s diaries and to take further actions as directed as appropriate.

  • To answer and screen all telephone calls to the Secondary Headteacher; actioning requests and enquiries. 

  • To minute meetings involving the Secondary Headteacher, where necessary. 

  • Administrator of the communicator tool for the Secondary section. Work with PA to Primary Headteacher to ensure consistency. 

  • Typing/filing of minutes and letters to parents as needed. 

  • To undertake reasonable tasks/projects as required for members of the Secondary SLT, SENCO, Nurses and Teachers.

  • Update school pupil/parent policies as required.

  • To assist the School and the SLT in the administration of ordering of resources and assessment materials for the Secondary school. 

  • Supplementary office reception duties: telephone and front desk at lunch/when required.

  • To work with PA to Primary Headteacher to arrange school photography.

  • Co-ordinate trips with trip leader and Head of Operations.

  • Co-ordinate bookings for events and parent evenings.

  • Co-ordinate and publish the weekly bulletin.

  • Whole school calendar – update.

  • Organise and assist with Parent Evenings

  • Knowledge of isams would be beneficial.

  • To be willing to assist with all reasonable requests that may not be defined in this job description already.

Support for the School:

  • Work as part of the Administrative team sharing the workload of other members of the team during busy periods.

  • To adhere to the school policy regarding confidentiality.

  • Contribute to the overall ethos/work/aims of the school.

  • Participate in training, other learning activities and performance development as required.

  • Attend and participate in meetings as required.

  • Any other duties commensurate with the duties/responsibilities of the post.

The post holder is expected to comply with any reasonable request from the Principal to undertake work of a similar level that is not specified in this job description. This job description may be amended at any time following discussion between the Principal/Line Manager and will be reviewed regularly.

 

PERSON SPECIFICATION

Education:

  • Good general education appropriate to the post.

Experience:

  • A minimum of 2 years workinging in a similar post

 Competencies:

  • Excellent command of the English language, both written and verbal

  • Excellent telephone manner

  • Experienced in Microsoft Office

  • Good-natured

  • Well-groomed and courteous

  • Understanding of general reception tasks with excellent customer facing skills

  • A multi-tasker able to support the Management Team with administration

  • Ability to build personal relationships
